1. Overview
At Instacertify Labs Private Limited (“Instacertify,” “we,” “our,” or “us”), we are dedicated to assisting manufacturers, importers, and brands in achieving product testing and certification compliance through recognized laboratories and accredited agencies.
This Refund and Return Policy defines our procedures, timelines, and terms regarding sample submission, storage, returns, cancellations, and refunds for all services provided by Instacertify.
2. Sample Submission and Storage
A. Initial Submission
- Clients must submit product samples to Instacertify for testing and certification facilitation.
- We coordinate with accredited testing laboratories and secured warehouses to ensure safe, traceable handling of all submitted samples.
B. Sample Collection within 15 Days
- If a client cancels the project within 15 days of sample submission and before the testing has commenced, the client may collect the sample without additional storage charges.
- After 15 days, daily warehouse storage charges will apply in accordance with Instacertify’s prevailing logistics and storage policies.
3. Post-Testing Sample Collection
A. Standard Testing Period
- As per NABL and certification norms, the typical testing period may extend up to 90 days, depending on the product category and test requirements.
- Clients are encouraged to inform Instacertify in writing at the time of sample submission if they wish to collect the sample post-testing.
B. Collection After Testing
- After completion of testing, samples are held for a mandatory retention period of 7 days (as per NABL guidelines) and 90 days for BIS testing.
- Clients must collect their samples within the subsequent 90-day period.
- After this period, daily storage or warehouse fees will apply as per company policy.
C. Failure to Provide Prior Information
If clients fail to notify Instacertify about sample collection before or after testing, we reserve the right to discard or dispose of samples to avoid additional storage charges or contamination risks. Samples once discarded cannot be retrieved, reissued, or compensated.
4. Additional Charges
Additional charges may apply under the following conditions:
- Warehouse Charges (Post 15 Days): Applied as per company storage pricing policy.
- Extended Holding Fees: Applicable for samples held beyond the standard retention period.
- Courier and Handling Charges: Applicable for any client-requested shipment of samples.
All such charges follow Instacertify’s internal commercial policy and may be revised periodically.
5. Refund and Cancellation Policy
A. Service Cancellation Before Initiation
- Clients may cancel a service or testing project before initiation of testing or sample dispatch.
- In such cases, a 50% refund will be processed after deduction of administrative or transaction costs.
B. Refund Eligibility
Refunds may be considered under the following circumstances:
- The service is cancelled before test initiation or document submission to the certification authority.
- Instacertify is unable to proceed with the project due to regulatory, technical, or logistical limitations.
- Refunds cannot be processed once testing or documentation work has started.
C. Refund Mode and Timeline
- Online Payments: Refunded through the same payment mode or bank transfer.
- Offline Payments: Refunded via cheque or direct bank transfer.
- Processing Time: Refunds typically take 3–10 business days, depending on the banking network or payment gateway timelines.
D. Partial or Conditional Refunds
Partial refunds may be provided after internal assessment, depending on:
- The stage of project progress,
- Administrative tasks completed, and
- External costs incurred (e.g., lab testing, audits, documentation).
Once the project has been submitted to a certification authority or regulator, no refund or cancellation is possible.
6. Non-Refundable Services
The following services are non-refundable once initiated:
- Testing fees paid to third-party laboratories.
- Government, BIS, or certification authority application charges.
- Courier, logistics, and warehouse fees.
- Consultancy retainers, documentation review, or project initiation fees.
7. How to Request a Refund or Return
Clients seeking a refund or return must email their request to contact@qualitysolution.in with the following details:
- Registered company name and contact person,
- Invoice or payment reference number,
- Reason for refund or cancellation,
- Bank account details (if applicable).
Our accounts and operations team will verify the request and respond within 3–5 working days with an outcome or the applicable refund amount.
8. Liability and Disclaimer
- Instacertify is not responsible for loss, damage, or deterioration of samples due to transportation issues, environmental factors, or external causes.
- All refund-related decisions are final and made at the discretion of Instacertify’s management after due diligence and verification.
- Refunds do not cover indirect, incidental, or consequential losses under any circumstances.
